Job description

JOB PURPOSE

The Payroll Officers ensures the timely and accurate management and processing of four monthly payrolls, including the accurate and efficient processing of enhancements and pensions. The role delivers year-end payroll procedures such as fillings, overseas pension administration and is involved in payroll budgeting.

KEY DUTIES AND RESPONSIBILITIES

Payroll Processing & Administration

  • Manage the collection, input, and verification of large quantities of different data from timesheets, expense claims, and HR into complex spreadsheets prior to upload into the payroll system.

  • Process pay runs in Select Pay and reconcile to data sheets.

  • Ensure accuracy in processing salary sacrifice arrangements and three pension schemes.

  • Administer and report on payroll activities for four payroll cycles, adhering to all relevant compliance standards.

  • Handle all payroll queries, referring issues to the Finance Manager where necessary.

Pension & Benefits Management

  • Oversee the administration of NHS pensions and other pension schemes, ensuring contributions are reported accurately and on time.

  • Administer and maintain salary sacrifice schemes, ensuring compliance with policies and regulations.

Data Management & Reporting

  • Utilise Excel functions such as pivot tables, lookups, and formulas to analyse and process large data sets.

  • Prepare and submit payroll journals for management accounting, supporting financial reporting and payroll budgeting.

  • Provide accurate monthly and year-end payroll reports, collaborating with the finance team to meet deadlines.

  • Travel to another LOROS site at least once per month for payroll-related duties.

Compliance & Audit

  • Maintain organised and comprehensive payroll documentation to assist with internal audits.

  • Ensure that all payroll information is kept confidential and adhere to LOROS policies and data protection regulations.

PROFESSIONAL RESPONSIBILITIES

  • Plan, prioritise, and manage your own workload efficiently to meet deadlines, particularly during payroll cut-off dates and year-end reporting.

  • Build and maintain effective working relationships across the LOROS teams, particularly with HR and finance colleagues.

  • Uphold all standards, policies, and procedures of LOROS, including strict confidentiality when handling employee information.

  • Stay up-to-date with payroll regulations, including those from HMRC, ensuring compliance in payroll procedures.

 

GENERAL

Be responsible for personal learning and development, keeping up to date with research, relevant legislation, policy and practice and other literature relevant to the role.

Participate in supervision, training and meetings as required, and assist in the development of services in line with agreed development plans.

Take reasonable care for the health and safety of themselves and of other persons who may be affected by their acts or omissions at work.
